Arabian Child Training Programs

Terms & Conditions

These Terms & Conditions govern all training programs delivered by Arabian Child Institute (including NCFE CACHE, Aim4Excellence™, Penn Foster, EYFS, CPD, and other accredited or in-house programs). By registering, the learner (or sponsoring employer) accepts these terms in full.

1. Eligibility, Registration & Enrollment

1.1 Eligibility

Learners must, at minimum:

• Be 19 years of age or older (unless a specific program states otherwise).

• Have basic literacy and numeracy skills in the language of instruction (English or Arabic).

• Have basic digital skills, reliable internet access, and a working laptop or computer.

Additional entry requirements may apply for specific qualifications (e.g., minimum school certificate, current employment in an early years setting, or leadership role). These are stated on the program page and must be met before admission is confirmed.

1.2 Application & Required Documents

To enroll, learners must:

• Complete the online application form accurately and in full.

• Submit the required documents, which may include:

  • Passport copy and/or Emirates ID (or equivalent national ID).

  • Minimum high school certificate or higher, as required by the qualification.

  • Employment confirmation or placement agreement, if required for practical components.

• Ensure that all information provided is true, complete, and current.

Arabian Child reserves the right to reject or cancel an application if false, incomplete, or misleading information is provided.

1.3 Enrollment Confirmation

Enrollment is confirmed only when:

• The application has been reviewed and approved by Arabian Child.

• All required documents have been submitted and accepted.

• The full fee or agreed installment plan has been paid or formally approved.

Once enrolled, learners may request an official Enrollment Confirmation Letter for employer or regulatory purposes.

2. Program Fees, Payment & Financing

2.1 Program Fees & Registration Charges

• Program fees are as listed on the official website (www.arabianchild.org) or in the official program offer sent by email.

• Fees may vary by cohort, language, mode of delivery, or country. Arabian Child reserves the right to update pricing at any time; the fee applicable to a learner is the one communicated at the time of their accepted offer.

• Certain qualifications carry a non-refundable registration fee, for example:

  • AED 500 for introductory and intermediate programs (e.g., Introduction to ECEC, Advanced Training in ECEC, NCFE CACHE Level 2).

  • AED 1,000 for advanced qualifications (e.g., NCFE CACHE Level 3, Level 5).

Where registration fees apply, they are non-refundable and non-transferable under all circumstances.

2.2 What the Course Fee Includes

Unless otherwise stated in the program outline, the course fee generally includes:

• Registration with the relevant awarding body (e.g., NCFE CACHE) where applicable.

• Access to the Learning Management System (LMS) for the duration of the course.

• Digital learning materials, assignments, and assessment tools.

• Scheduled observations and IQA processes where required by the qualification.

• Issuance of the certificate upon successful completion and full payment.

Textbooks, optional workshops, additional observations, and courier costs for physical documents may be charged separately.

2.3 Payment Methods

Payment may be made via:

• Bank transfer or online payment link.

• Post-dated cheques (where accepted and approved).

• Approved third-party installment/financing partners where available.

For installment plans:

• All post-dated cheques or financing approvals must be in place before the first session.

• Failure of a cheque or scheduled installment may result in suspension of access to the LMS and sessions until payment is regularized.

 

2.4 Sponsored Learners (Employers / Government / Other Entities)

Where an employer, government agency, or other sponsor is paying the fees:

• The sponsor remains financially responsible for all agreed amounts.

• The learner remains responsible for complying with all academic and conduct requirements.

• If a sponsor withdraws funding mid-course, Arabian Child is not obliged to continue delivery unless an alternative payment arrangement is agreed.

3. Withdrawal, Refund & Deferral Policy

(This section is your “Withdrawal Policy” for Jeel and other partners.)

3.1 General Principles

Arabian Child operates on scheduled cohorts with limited seats, international awarding obligations, and fixed assessor capacity. Once a learner is enrolled, significant costs are committed in advance. For this reason, refunds and deferrals are very limited.

3.2 Refund Policy

Unless required by local law or a specific written agreement, the following applies:

• Registration fees are non-refundable and non-transferable in all cases.

• Program fees are non-refundable once the learner’s enrollment has been confirmed and LMS access or cohort allocation has been provided, except in the cases listed below:

Refunds (partial or full) may be considered only if:

1. Arabian Child cancels the entire program before it starts and is unable to offer an alternative cohort within a reasonable timeframe; or

2. Arabian Child refuses or withdraws admission due to internal eligibility reasons not related to learner misconduct or false information.

In such cases, Arabian Child may, at its discretion:

• Offer a full or partial refund, or

• Transfer the amount to another program or future cohort.

No refund will be granted where the learner:

• Changes mind, personal circumstances, or employment.

• Fails to meet attendance, assignment, or assessment requirements.

• Is withdrawn for misconduct, plagiarism, non-payment, or breach of policies.

3.3 Withdrawal by Learner

• All withdrawal requests must be submitted in writing via email to the official accounts or training email.

• The effective date of withdrawal is the date the written request is received.

• No fee refund is provided for learner-initiated withdrawal after enrollment confirmation.

• Any outstanding installments remain payable according to the signed agreement or financing plan.

Learners registering through third-party financing providers (e.g., Jeel Pay, other “Study Now, Pay Later” services) are also bound by the provider’s terms. Withdrawal from the course does not automatically cancel their financial obligations towards the financing provider.

3.4 Withdrawal by Arabian Child (Termination)

Arabian Child reserves the right to withdraw a learner from a program with no refund where the learner:

• Fails to meet minimum attendance requirements.

• Does not engage with the LMS or respond to official communication over an extended period.

• Commits plagiarism, cheating, or other academic misconduct.

• Shows disrespectful or abusive behavior towards staff or other learners.

• Fails to pay fees or maintain the installment plan.

• Breaches any major term of these policies or of the awarding body regulations.

Where required by the awarding body or regulator, such withdrawals may be reported.

3.5 Deferral Policy

• Deferrals are generally not permitted. Learners are expected to complete the program within the scheduled duration.

• In exceptional circumstances (e.g., severe illness, major life event), Arabian Child may, at its discretion, offer a limited deferral or transfer to another cohort, subject to:

  • Approval by management,

  • Availability of places in the new cohort, and

  • Payment of any applicable administrative or re-registration fees.

This is a discretionary arrangement, not an entitlement.

3.6 Course Extensions

Where the program allows:

• Learners who exceed the official course end date may request an extension by completing an Extension Request Form.

• Approved extensions are charged at AED 1,200 per calendar month (excluding VAT) or as per the latest published extension fee.

• Extensions are granted only if the learner has already completed a substantial portion of the course and shows realistic potential to finish.

4. Program Delivery, Learning Modes & Attendance

4.1 Delivery Modes

Programs may be offered as:

• Self-paced eLearning through the LMS.

• Instructor-led cohorts with scheduled live sessions (online or in-person).

• Blended models combining both.

The delivery mode and schedule are specified in the program information for each intake.

4.2 Attendance Requirements (Instructor-Led)

• Learners in instructor-led/cohort programs are expected to attend at least 80% of scheduled live sessions.

• Persistent absence may result in:

  • Being marked “at risk” of non-completion.

  • Additional support and warning communications.

  • Possible withdrawal without refund if attendance remains unsatisfactory.

Learners are responsible for catching up on any missed content and materials.

4.3 Schedule Changes

Arabian Child may, when necessary:

• Change or reschedule session dates and times.

• Replace trainers/assessors due to operational needs.

• Switch between in-person and online delivery where required.

Any such changes will be communicated in advance via email or LMS and will not affect the validity or accreditation of the qualification.

5. Technology, LMS Access & Learning Requirements

• Learners must have ongoing access to:

  • A laptop or desktop computer,

  • Stable internet connection,

  • A valid email address.

• Learners must regularly log into the LMS to access materials, submit assignments, and review feedback.

• Technical difficulties do not exempt learners from meeting deadlines; they are expected to seek help promptly.

6. Assessment, Academic Integrity & Observations

6.1 Assignments & Assessments

• All assignments must be submitted via the LMS (or other official channel) by the given deadlines.

• To pass each unit, learners must meet 100% of the assessment criteria for that unit.

• Clear written feedback will be provided. Resubmissions may be required where criteria are not fully met.

6.2 Plagiarism & Cheating

Arabian Child has zero tolerance for academic misconduct. Prohibited actions include:

• Copying work from other learners or external sources without proper referencing.

• Using AI tools or third parties to produce assignments and presenting them as personal work.

• Any form of cheating in exams or supervised assessments.

Confirmed cases may result in:

• Immediate unit or course failure.

• Withdrawal from the program without refund.

• Reporting to the awarding body or regulator where applicable.

6.3 Workplace Observations (e.g., CACHE Level 3 & 5)

Where programs require practical observation:

• Learners must secure appropriate placements/employment in early years or relevant settings (unless otherwise arranged through Arabian Child’s partners).

• Observations will be scheduled once the learner has completed the required percentage of course content (e.g., 40% for Level 3, 70% for Level 5 – subject to current program rules).

• A suitable activity plan and all pre-observation requirements must be submitted in advance.

• If a learner repeatedly cancels or fails to meet observation requirements, observations may be delayed, incur additional fees, or be denied.

7. Learner Conduct, Support & Adjustments

7.1 Code of Conduct

Learners are expected to:

• Treat staff, trainers, and fellow learners with respect and professionalism.

• Maintain appropriate behavior and language during all interactions (classroom, online channels, WhatsApp groups, etc.).

• Keep mobile phones on silent during sessions and keep cameras on for online sessions where requested.

• Represent Arabian Child positively in workplaces and partner settings.

Serious or repeated breaches may lead to warnings, suspension, or withdrawal from the program without refund.

7.2 Learner Support

Arabian Child provides academic and, where possible, basic pastoral support. Learners can:

• Request clarification on assignments and expectations.

• Ask for additional guidance if they are falling behind.

• Seek signposting if personal issues are affecting their study.

7.3 Reasonable Adjustments & Special Consideration

• Learners with disabilities or specific learning needs should inform Arabian Child as early as possible and provide relevant evidence.

• Reasonable adjustments to assessment conditions (e.g., extra time, alternative formats) may be offered where justified and allowable by the awarding body.

• Special consideration for unexpected events (bereavement, serious illness, etc.) may be applied in line with awarding body rules.

8. Complaints, Feedback & Appeals

8.1 Complaints & Feedback

• Complaints or serious concerns must be submitted in writing (email or LMS form).

• Informal messages (WhatsApp, Zoom/Teams chat, verbal comments) are not treated as formal complaints.

• All complaints will be reviewed and responded to within a reasonable timeframe.

• Feedback and suggestions are welcomed and used to improve services.

8.2 Appeals Against Assessment Decisions

• If a learner believes an assessment decision is unfair, they may submit a formal appeal in writing (e.g., to info@arabianchild.org) within the specified timeframe after receiving the result.

• The work will be reviewed by an internal quality assurer and, if needed, by an appeals panel or external verifier.

• The appeal outcome will be communicated in writing and is considered final, subject to any further rights under the awarding body’s own procedures.

9. Certification & Records

• Certificates are issued only when the learner has:

  • Completed 100% of the course requirements;

  • Passed all required assessments;

  • Settled all outstanding fees.

• Certificates are typically issued within up to 28 working days from confirmed completion or awarding body approval.

• Learner records and evidence are retained securely for the period required by regulators and awarding bodies and accessed only by authorized staff.

10. Data Protection & Intellectual Property

• Arabian Child complies with applicable data protection regulations.

• Learner data (applications, assessments, communications) is stored securely and shared only with:

  • Trainers and assessors;

  • Finance and administration;

  • Awarding bodies and regulators, where required.

• By enrolling, learners consent to their data being used for program administration, quality assurance, and, where permitted, limited marketing of relevant offers.

All course content (materials, handouts, videos, LMS content) is the intellectual property of Arabian Child and its partners. Copying, distributing, or re-using these materials outside personal study is strictly prohibited.

11. Force Majeure

Arabian Child is not liable for delays, changes, or failures in performance caused by events beyond its reasonable control, including but not limited to: natural disasters, pandemics, war, government restrictions, major system outages, or civil unrest. In such cases, Arabian Child may adjust schedules, delivery modes, or timelines to ensure continuity as far as possible.

12. Changes to These Terms

Arabian Child may amend these Terms & Conditions from time to time to reflect:

• Changes in regulations or awarding body requirements;

• Internal quality improvements;

• Operational or pricing updates.

The most recent version published on the official website applies to new registrations. Learners already enrolled will be notified of any material changes affecting them.
